Keyboard shortcuts in Microsoft Office




The Most Frequently Used Shortcuts


Toggle the Bold characteristic on and off by pressing Ctrl + B.

When you want to use italics, press Control + I.


Toggle the Underline attribute on and off by using the Ctrl + U key combination.


Remove paragraph formatting by using the Ctrl + Q keyboard shortcut.


To copy the selected text to the clipboard, use the Ctrl + C keys together.


Cut selected text to the clipboard by pressing Ctrl + X.


To paste text from the clipboard, use the Ctrl + V keyboard

 shortcut combination.


To undo the previous operation, use the Ctrl + Z keyboard shortcut.

To undo the last operation, use Ctrl + Y on your keyboard.


To reduce the font size by one point, use Ctrl + Shift +.


To raise font size by one point, use Ctrl + Shift + >.


To erase character formatting, hold down the Ctrl key and the space bar.


To generate a non-breaking space, hold down Ctrl + Shift + Spacebar.


For a non-breaking hyphen, use Ctrl + Hyphen on your keyboard.


To return to the beginning of the document, use Ctrl + H.


To go to the end of the document, use Ctrl + End.


Quick Access to Function Keys


The Office Assistant or online help may be accessed by using the F1 key.


Move text or images around by pressing F2.

Insert an AutoText item by using the F3 key (after Word displays the entry)


To repeat the last operation, use the F4 key on your keyboard.


To access the Go To command, use the F5 key (Edit menu)


To go to the next pane or frame, use the F6 key on your computer's keyboard.


When you press F7, the Spelling and Grammar check will be launched

automatically.

To make a selection larger, press F8.


Selecting several fields and pressing F9 will update them.


To bring up the Menu Bar, press F10.


To go to the next field, use the F11 keyboard shortcut.


The Save As command may be selected by using the F12 key (File menu)


Keyboard shortcut: Alt + Function


To go to the next field, press Alt + F1.


Make an AutoText input by pressing Alt + F3.


To close Word, press Alt + F4.


To restore the application window size, press Alt + F5 on your keyboard at once.

In order to execute a macro, hold down the Alt + F8 key combination.

Switch through all field codes and their results by pressing Alt + F9 on your

 keyboard.




To maximize the application window, use the Alt + F10 keyboard shortcut.

Using the Shift key in conjunction with the Function key

To activate context-sensitive search, press Shift + F1. Help with formatting or

expose it.

To copy chosen text, hold down Shift + F2.

To change the case of letters, hold down Shift + F3 at the same time.

To repeat a Find or Go To operation, hold down the Shift key and the F4 key

simultaneously.


To go back to a prior iteration, hold down the Shift key and F5.


F6 is used to go back across panes and frames in the current window.


To access the Thesaurus command, hold down Shift + F7 (Tools menu,

Language submenu)


To reduce the size of a selection, hold down Shift + F8.


Switch between a field code and the result by pressing Shift + F9.


To bring up a shortcut menu, use Shift + F10.


To return to the previous field, hold down Shift and F11.


Save may be accessed by using the Shift + F12 keyboard shortcut (File menu)

To modify a bookmark, hold down the Ctrl key and Shift key while pressing F5.


To return to the previous window, press Ctrl + Shift + F6.


To make changes to connected material in a Word source document, use the

 Ctrl + Shift + F7 keys simultaneously.

To make a selection or a block larger, hold down the Ctrl + Shift + F8 keys

(then press an arrow key)

To bring up the ruler, use Ctrl + Shift + F10.
